AI, Automation and Digital Tools
TRiiBE Creative uses modern software and may use artificial-intelligence and automation tools in delivering services and operating our business. These tools may assist with tasks such as research, drafting, ideation, workflow automation, content development, design exploration, transcription, analysis, customer support and business administration.
Where personal or client information is processed through an AI or automation provider, we aim to limit information to what is reasonably necessary for the task and use appropriate business controls where available. We do not intentionally provide highly sensitive information to general-purpose AI systems unless this is necessary, appropriate and authorised.
We may also design AI-assisted workflows or automations for clients. In those circumstances, the client is responsible for ensuring that the information supplied for the workflow has been collected lawfully and that the client has appropriate notices, consents and permissions in place.
TRiiBE does not currently intend to use automated decision-making to make decisions that significantly affect an individual's legal rights or interests. If our practices change, we will review and update this policy as required by applicable law.
Marketing Communications
We may send marketing or promotional communications where you have subscribed, requested information, engaged with our business or where otherwise permitted by law.
Commercial electronic messages will identify the sender and include a functional way to unsubscribe. You can opt out at any time. Transactional, account, project and service-related communications may still be sent where they are necessary to provide a service you have requested.
Cookies and Tracking Technologies
-
Our website may use cookies, pixels, tags and similar technologies. These technologies help websites function, remember preferences, understand usage and measure marketing performance.
-
Types of cookies and technologies we may use
-
Essential cookies - required for core website, security, login, checkout or member functionality.
-
Preference or functional cookies - used to remember settings and improve the user experience.
-
Analytics cookies - used to understand traffic, website performance and how visitors interact with content.
-
Marketing and advertising technologies - used where applicable to measure campaigns, understand conversions, build audiences or support remarketing.
-
Third-party tools may include website-platform analytics, Google Analytics, Meta technologies, email-marketing platforms, CRM software, booking and scheduling tools and other marketing or analytics providers. The exact tools used may change over time.
-
You can usually manage cookies through your browser settings and, where a cookie-consent tool is provided on our website, through those preferences. Blocking some cookies may affect website functionality.
Payment Information
Payments may be processed through third-party payment gateways and financial service providers. Those providers may collect payment-card, billing and transaction information under their own terms and privacy policies.
TRiiBE generally receives transaction confirmation and related billing information rather than complete payment-card details.
Disclosure to Service Providers and Contractors
We may disclose personal information where reasonably necessary to trusted third parties that help us operate or deliver services, including:
-
website, e-commerce and hosting platforms;
-
cloud storage and file-sharing providers;
-
CRM, client-management, project-management and scheduling platforms;
-
email marketing, communications and automation platforms;
-
payment processors, accounting and financial service providers;
-
AI, transcription, analytics, design and productivity tools;
-
contractors, designers, developers, consultants and specialist service providers working on client projects;
-
professional advisers such as lawyers, accountants, bookkeepers and insurers; and
-
regulators, courts, law-enforcement bodies or other recipients where disclosure is required or authorised by law.
We do not sell or rent personal information as a standalone commercial product.
Overseas Processing and Disclosure
Some technology providers and contractors we use may store, access or process information outside Australia. This may include providers with infrastructure, personnel or related entities in countries such as the United States and other jurisdictions in which global cloud, software, payment, marketing, AI or service providers operate.
Because our technology providers may change their hosting locations and subprocessors, it may not always be practicable to identify every country in advance. Where the Australian Privacy Principles apply, we take reasonable steps required by law in relation to overseas disclosures.
Client-Supplied Personal Information
Clients may provide us with customer, employee, contractor, supplier or other third-party personal information as part of a website, CRM, marketing, automation or systems project.
The client is responsible for ensuring it has a lawful basis and any necessary notices, consents or permissions to provide that information to TRiiBE Creative and to instruct us to process it.
Unless otherwise agreed in writing, TRiiBE acts on the client's instructions in relation to client-supplied data and does not independently verify the client's authority to collect or disclose that information.
Storage and Security
We take reasonable technical and organisational steps to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure. Measures may include controlled account access, reputable cloud providers, password-management practices, multi-factor authentication where available, access restrictions, software updates and appropriate contractor controls.
No digital system can be guaranteed to be completely secure. If you become aware of a potential security issue involving information provided to TRiiBE, please contact us promptly.
Data Retention and Destruction
We retain personal information for as long as reasonably necessary for the purpose for which it was collected, to provide services, maintain project and business records, comply with legal or taxation obligations, resolve disputes, enforce agreements and maintain reasonable backups or archives.
When information is no longer reasonably required and there is no legal reason to retain it, we will take reasonable steps to delete, destroy or de-identify it.
Access and Correction
You may ask us to provide access to personal information we hold about you or to correct information you believe is inaccurate, out of date, incomplete or misleading.
We may need to verify your identity before acting on a request. In some circumstances, access may be refused or limited where permitted by law. If this occurs, we will explain the reason where required.
Privacy Complaints
If you believe we have mishandled your personal information, please contact us using the details at the end of this policy and describe your concern.
We will review the complaint, may request further information and will aim to respond within a reasonable timeframe. Where the Privacy Act applies and you remain dissatisfied after raising the matter with us, you may be able to contact the Office of the Australian Information Commissioner (OAIC).
Data Breaches
If we become aware of a suspected data breach, we will take reasonable steps to contain and assess it and reduce potential harm.
Where the Notifiable Data Breaches scheme applies to TRiiBE Creative and a breach meets the legal notification threshold, we will take the steps required by law, which may include notifying affected individuals and the OAIC.
Third-Party Websites and Services
Our website, client portals, resources and communications may contain links to third-party websites, platforms or services. Those third parties operate independently and their privacy practices are governed by their own policies. TRiiBE is not responsible for the privacy practices or content of external services.
Social Media
When you interact with TRiiBE Creative through social media, the relevant social platform may collect and process information independently of us. Anything you choose to post publicly may be visible to others. You should review the privacy settings and policies of the relevant platform.
Children and Young People
TRiiBE Creative's core services are directed to businesses and adult customers. We do not knowingly seek to collect personal information directly from children for our general business services.
If a project legitimately involves information about children or young people, the client must ensure that appropriate permissions, notices and safeguards are in place.
Anonymity and Pseudonyms
Where lawful and practicable, you may contact us without identifying yourself or by using a pseudonym. However, we will generally need accurate identifying and contact information to enter into agreements, process payments, create accounts, provide project services or meet legal and business requirements.
Changes to This Policy
We may update this policy when our services, systems, technology providers, legal obligations or information-handling practices change. The latest version will be published on our website with an updated revision date.
We recommend reviewing this policy periodically, particularly if you continue to use our services or digital platforms.
